Share the Holiday Cheer

The Share the Holiday Cheer initiative is coordinated through the University of Alberta International as a way of providing international students an opportunity to experience a traditional Canadian holiday dinner with faculty and staff. The program allows the respective groups to learn about each others cultures and traditions. The deadline for students and hosts is December 19th, 2012. T4 & T4A tax slips for the 2012 tax year will be released in Bear Tracks on February 11, 2013. Printed tax slips will be mailed by the end of February 2013.

HRDF Changes for January 2013

Wellness courses will no longer be funded from the HRDF. Wellness courses can be reimbursed from the support staff member's Personal Spending Account. After April 1, 2013, support staff can "borrow" a maximum of two years worth of funding or $1500.00 and will be ineligible to apply for funding from HRDF in the subsequent fiscal year.

Immigration News

Academic Services (Immigration) would like to share an announcement about the new Labour Market Opinion Application, a reminder about foreign student work requirements, and information about the upcoming Immigration Information Sessions.

Holiday and Winter Closure 2012/13

This year the University Holiday and Winter Closure starts on December 25, 2012 and ends on January 1, 2013. This means that the University of Alberta is officially open on Monday, December 24th. Staff may choose to take a vacation day on December 24th, subject to operational requirements and the approval of their supervisor.

HRS Closed for Winter Luncheon

HRS will be closed during the afternoon of Friday, December 14th for their annual Winter Luncheon. This closure includes the HRS reception desk. An emergency contact phone number will be shared on the recorded voicemail message and will also be available on posters displayed at reception for any visitors seeking assistance.

Payroll Updates

Payroll Operations has several topics to share including: Winter Closure Tips Sheets, Monthly & Semi-Monthly Pay in December, Holding Pay Cheques and the Territory Payroll Tax.

Support Staff Benchmarks Available

In response to the recommendations included in the Review Committee for Job Evaluation report, Compensation & Job Design will make the first category of support staff benchmarks (Administrative) available on the HRS website on November 15, 2012.

Academic Smart Forms

All levels of education should be included when creating Academic Smart Forms (e.g., adding a Bachelor’s degree as well as entering a Master’s degree). When a staff member’s level of education changes (e.g., Staff Member earns a PhD), the new education information needs to be added.

CAST Agreement Salary Scales

Under the CAST Agreement there are two salary scales: 1) for those who do not hold a PhD or equivalent; and 2) for those who hold a PhD or equivalent.

If at the time of hire a staff member does not hold a PhD or equivalent, that staff member is normally placed on a step using the non-PhD salary scale. If the PhD or equivalent is later completed, the staff member will be placed on a step using the PhD salary scale in the next appointment or the next Academic year (July-June), whichever comes first.

Work Exposure Programs for Persons with Disabilities

OLE and the University of Alberta are collaborating with EmployAbilities and On Site Placement Services to create voluntary opportunities for persons with disabilities to allow them to gain meaningful work experience.

Celebration of Service Letters

The Celebration of Service will be held on November 5th, 2012 and letters listing this year’s honorees will be sent to departments shortly. The celebration recognizes staff who have or will reach a milestone year in this calendar year, including individuals identified in PeopleSoft as retiring. Please note: the list will include individuals who reach a milestone in 2012 and have chosen to retire subsequent to a position disruption.

Relocation: Advance Notice Needed

The University's preferred moving companies -- Armstrong and Premiere -- require at least two months' notice of an upcoming relocation. If adequate notice is not provided they may not be able to accommodate the desired moving dates. Please contact RelocationServices@ualberta.ca if you have any questions about planning a relocation.

2012 Canada Savings Bonds Campaign

The Canada Savings Bonds Payroll Savings Plan allows salaried employees to contribute to the plan through automatic payroll deductions. The Payroll Savings Plan campaign begins today and runs until November 1, 2012. All salaried staff are eligible to sign up for the payroll deduction by visiting CSB Online Services.

NASA Collective Agreement Posted

The draft version of the 2012 - 2015 NASA Collective Agreement has been posted on the Human Resource Services (HRS) website. Final editing and formatting will take place over the next few weeks; the final version of the agreement will be shared after the proofing phase is complete. Orders for printed copies of the agreement will be accepted once the final version is available.

Campus Flu Clinics

Influenza clinics are free of charge and are open to all students and staff at the University of Alberta. Clinics will run in SUB, November 6th to 9th, 9:00 AM to 3:00 PM daily.

Benefit Program Changes

All staff will receive an information package next week via campus mail that outlines changes to benefit programs. The changes include revisions to current programs i.e., Voluntary Accident Insurance (VAI) Plan (formerly Accidental Death and Dismemberment), Optional Dependent Life Insurance for Dependents and a new Critical Illness Insurance program for Support Staff.

General Information Sessions: NASA Collective Agreement Changes

Human Resource Services is offering general information sessions regarding changes to the support staff collective agreement. The last scheduled session will be held in Room L1-430 at the Edmonton Clinic Health Academy on September 20, 2012, from 1:30 – 3:00 PM. If you have any questions about the collective agreement changes, please contact your HR Consultant.

Fall/Winter Hours

The University of Alberta will move to Fall/Winter hours on September 1, 2012. Employees with a regularly scheduled workday of 8:00 a.m. to 4:00 p.m. will revert to 8:30 a.m. to 4:30 p.m.

Academic Staff: Professional Expense Reimbursement Update

The PeopleSoft Financials 9.1 upgrade has changed the process for submitting Professional Expense Reimbursement (PER) claims. The revised instructions for submitting a PER Claim are available on Human Resource Services (HRS) website. Recent negotiations have resulted in changes to the way the Human Resources Development Fund is administered. Important changes have been made to the allocation of funding and terms for borrowing.

Immigration: Work Permit Processing Times Increased

Government immigration services have been reduced resulting in some significantly increased waiting times for visas and work permits.

Academic Staff: Tenure and Promotion

The tenure and promotion of faculty makes July 1st a busy time for many departments. Updating the find a person directory to reflect these changes is a task that is easy to overlook. If you haven’t already done so, please contact your department telecom contact to notify them of the necessary changes that need to take place.

Support Staff: Salary Increase Payment Timeline

The 2% salary increase negotiated in the 2012-15 NASA settlement will be applied to NASA pay scales for the August 10, 2012 pay date. This increase will cover the July 16 - July 31, 2012 pay period.

Pay Confirm Reminder: Last Biweekly Pay Period

The pay confirm date for the biweekly June 17th to June 30th pay period has changed; due dates for time sheets and pause dates for Smart Forms have also been revised. You can download the Biweekly Schedule from the HRS website. Please contact your Employment and Pay Advisor if you have any questions.

Semi-Monthly Pay Period Time Sheets

Bear Tracks Scheduled Outage

As previously communicated by AIS, in order to move the semi-monthly pay cycle into production, Bear Tracks, Campus Solutions and HCM will not be available from 12:00 noon on Sunday, July 1, 2012 until 5:00 pm on Monday, July 2, 2012.

Academic Salary Scales

A reminder for HR personnel that the settlement for Academic Staff effective July 1, 2012 is 2%. The 2012-2013 Academic salary scales are available on the HRS website. 

Foreign Visitor Category Assessment

Faculties and departments are strongly encouraged to complete the Foreign Visitor Category Assessment form prior to inviting foreign nationals to the University on a temporary basis.

Service Canada has revised the requirements for posting positions on the Canada Job Bank (CJB). Departments are now required to provide a salary range when posting any position on the CJB, reflecting the salary range of the related Staff Agreement.

2012 Summer Student Employment Programs

The primary objective of government funded student summer employment programs is to support the creation of temporary jobs for full time students. The expectation is that the temporary jobs will benefit students financially, provide career related experience, and support community priorities.

Voluntary 5-day Personal Leave Plan 2012-2013

The Voluntary 5-day Personal Leave Plan (PLP) will be offered again in 2012-2013. The plan allows eligible Academic and Support staff to take five days of leave without pay and distributes the cost to the employee evenly over the plan period (July 1, 2012 to June 30, 2013).

Semi-Monthly Pay Coming July 1, 2012

Beginning July 1, 2012, the U of A will introduce a new semi-monthly pay cycle for all NASA staff, graduate students, excluded students and postdoctoral fellows. The semi-monthly pay cycle will consolidate the current monthly and biweekly pay cycles into a combined pay cycle featuring two pay periods and two pay dates each month.
